The corporation's worldwide staff comprises an assembly of almost 20,000 enthusiastic and ingenious individuals.

Challenge

The customer’s reliable partner, a prominent company in the industry, specializes in developing and manufacturing electronic and mechatronic products. They offer advanced technological solutions and engineering services to the international vehicle sector. 

With the customer's recent acquisition of the acquired company's assets, and the necessity to extract and transfer all relevant data from the existing systems to the customer's environment, certain challenges were encountered. 

Holistic data migration
The task involved more than migrating a single document info record. It extended to encompass the intricate migration of physical files linked to these DIRs and the preservation of their interrelationships within the document structures.
Comprehensive migration
Notably, the migration process encompassed the metadata, including the Header, Classification, Object Links of the DIRs, and the physical files themselves. These files, i.e., DIR Originals, were stored across different Content Servers in different geographical regions.
 Manual selection process
Identifying the exact set of documents relevant for migration posed a challenge. Different teams involved in the project undertook this selection process manually, raising concerns about the potential loss of critical data during the extraction.

Seamless transition
A smooth transition avoiding data loss or operational disruption emerged as paramount. 
Data transformation
Before the actual data migration, a crucial step involved transforming extracted data. This was imperative to address differences in Master Data and Configuration between the source and target systems.

Solution

Driven by acquisition, the customer's key business objective was the precise migration of single DIRs, including their physical files and document structures, from the SAP ECC (EHP 7) system to the SAP (EHP 4) system. This rapid DMS migration aimed to seamlessly integrate these assets into current operations, ensuring continuity and efficiency. The urgency stemmed from the need to swiftly enable the customer's business users to seamlessly transition to the different SAP systems and continue their projects without disruption.

Project Goal

When companies merge or acquire new businesses, they often need to consolidate data from different sources into a unified platform. DataLark's mission was to conduct data migration with accurate replication of key records and ensure that the acquired business data was integrated smoothly. 

Data accuracy and integrity
To avoid data corruption, we closely monitored the accuracy of data mapping, transformation processes, and verification mechanisms. Regular data quality checks, validation against source data, and reconciliation with the target system were used as indicators of a successful migration.
Minimal disruption to operations
Monitoring the project's timeline, managing downtime effectively, and having contingency plans in place for unexpected issues are key indicators of a well-executed migration that minimizes disruption.
This approach collectively reflected the project's ability to deliver accurate data, maintain operational continuity, and ensure that the organization's teams effectively utilize the migrated data.

Identifying key information
We used a Python script to find and gather all unique document info record (DIR) keys that were important for the migration process. Additionally, we extracted data about document structures and organized this data in a way that took into account any changes in the types of documents.
Getting the DIR details
To collect information about the documents, we used a special tool, which helped us retrieve the metadata associated with each directory.
Gathering original DIRs
In another step, we utilized a set of commands to extract the original document files. This process involved gathering the essential documents from the directories.
Creating new DIRs
We generated individual document info records, each containing the original files.
Building document lists
We created lists of documents associated with each DIR.
Changing DIR status
We adjusted the status of the DIRs, bypassing the established status scheme and making the necessary updates.

The data migration project was successfully executed by combining essential tools and technologies including DataLark, a versatile Migration Tool specifically designed for seamless data transition.
The integration with SAP ECC ensured a robust foundation for the migration process, ultimately contributing to the project's overall success.
